Before You Check In

Understanding the pre-admission process.

All patients will receive a pre-admission interview to go over the specific details of your hospital stay. In many cases, an interviewer will call you at home a day or so before your arrival at the hospital. In other cases, the pre-admission interview will occur during pre-testing, if required before your stay. If you have not been contacted by the Pre-Admissions Office at least one day prior to your scheduled admission, please call (804) 828-5622. In emergency cases, patients will be interviewed on the day they arrive.

What you will be asked.

The interviewer will ask a series of questions about your medical condition, your insurance coverage, and other issues that may affect your stay. Like speaking with your doctor, everything you discuss during this phone call is kept completely confidential. During the interview, you will need to provide insurance information along with your medical history. It is very important that you provide accurate insurance information during the interview. This information will help us predict the cost of your hospital care, as well as determine where to send your bill.

Insurance papers and authorization.

If you have private health insurance, Medicare, or Medicaid, you may be required to obtain either a second opinion or an authorization for medical care from your insurer prior to your admission. You will need to bring this documentation with you to the hospital. Without it, your insurer may refuse to pay your bill. The interviewer may assist you in locating this information, however, please note that it is your responsibility to obtain everything required by your insurance company. If possible, please discuss your insurance requirements with your doctor's office prior to the pre-admission interview to avoid delays on the day you check into the hospital.

Payment arrangements.

If you do not have medical insurance, or if your insurance company requires a deductible or co-payment, you will be expected to pay the balance of your hospital stay when you leave. A financial counselor will assist you in making special payment arrangements, if necessary.

Pre-admission testing.

Some patients will require pre-testing before checking-in to the hospital. Pre-testing is performed in the Outpatient Testing Center, located on the first floor of the Nelson Clinic, l2th and Marshall Streets. Parking is available at reduced rates in a parking deck under the Nelson Clinic, as well as in a lot adjacent to the Nelson Clinic (see map at back). Ask your doctor's office to give you a parking coupon for reduced parking rates.

Arriving at the hospital (the admission appointment).

Either your doctor or the pre-admission interviewer will schedule a time for you to check-in on the day of your hospitalization. On the day of admission, you must check-in at the Admissions Office located on the first floor of Main Hospital, just past the Visitor's Parking deck walkway entrance off of Clay Street (see map at back). If you have already had a pre-admission interview, you will simply check-in at the Admissions Office on the day of your hospitalization to verify information, show insurance identification, sign admitting forms, and receive your room assignment.

If you have not been pre-admitted, you will receive the pre-admission interview before checking-in. Please bring your insurance cards and any documentation required by your insurance company with you.

If you are the parent or guardian of a patient under 18 years of age, you will need to sign the proper consent forms and present proof of guardianship.

Planning Your Hospital Stay

What you should bring to the hospital.

When you come to the hospital, you should bring the following items:
  • A list of all medications that you are taking (not the medication itself).
  • Comprehensive insurance information, including insurance cards and second opinion documentation as required by your insurer.
  • Any important papers (a living will, a medical or durable power of attorney, custody papers).
  • Identification.
You may also choose to bring a few personal items to make your stay more pleasant. Patients are encouraged to bring comfortable pajamas or a nightgown, a robe or slippers, toothbrush, toothpaste, combs, brushes, shaving equipment, and cosmetics. Other items, such as reading material, small games, needlework, or pocket change may also be brought.

What you should not bring to the hospital.

Please leave your valuables at home. This includes jewelry, credit cards, and large amounts of money. MCV is not responsible for lost or stolen items. For emergency situations, there is a hospital safe.

Please leave all electrical appliances at home.

Please do not bring medications or other drugs with you, not even aspirin. If you have any medicines with you, please give them to your family to take home or to a member of the nursing staff.

Semi-Private and Private Rooms

What you need to know about staying at MCV. Your room will be assigned to you when you check-in. Most patients receive semi-private rooms, unless a private room is medically required. All rooms have attached bathrooms. Private rooms are available on request for an additional fee. The fee for a private room generally is not covered by medical insurance. When you arrive at your room, a member of our staff will show you all of the special features designed to make you feel at home.

No Smoking Policy

VCU Health System is a non-smoking facility. No smoking is permitted inside any MCV building, including your room. Any questions you have about this should be directed to your doctor or nurse.

Storing Personal Items and Valuables

Please keep a minimum of personal items in your room. If you wear dentures or eyeglasses, ask your nurse for a special container to store them at your bedside when not in use. Never wrap dentures or eyeglasses in a napkin or tissue. Never leave them on your meal tray.

Also, please do not leave personal belongings on your bed. Otherwise, they may get lost when the bed linen is changed or your room is cleaned. If you inadvertently bring valuables with you, such as jewelry (including rings, watches, and earrings) or large sums of money, please send these items home with a family member when you arrive. MCV is not responsible for misplaced items.

Intensive Care Units

Some patients require close observation 24 hours a day, and may be placed in one of our intensive care units. These units are staffed by nurses who are specially trained and highly skilled at providing care using the most advanced equipment available. Please see your nurse for specific information regarding these areas. Intensive care units are located throughout the hospital:
  • Adult intensive care units Main 4
  • Neonatal intensive care units Main 6
  • Pediatric intensive care unit Main 7
  • Burn intensive care unit North 2
Waiting rooms and other special accommodations are located on these floors for the families of intensive care patients.

The Gumenick Suites

Thanks to a generous gift from Richmond's Sophia and Nathan Gumenick, six patient care suites were built to offer patients an attractive, homelike environment without compromising their medical care. The Gumenick Suites are staffed around the clock with registered nurses and offer the same level of treatment as other areas of the hospital.

Suites feature a kitchenette, a television, a stereo system, and a variety of personal amenities, some with remote-controlled window blinds and a Jacuzzi. The main advantage of the Gumenick Suites are the separate living areas attached to each room, where a visiting family member or friend may stay overnight. There is an additional fee to stay in the Gumenick Suites, which includes overnight accommodations and relaxed visiting hours for family members, gourmet meals for the patient and a guest, and free parking at the hospital throughout the stay. The fee for the Gumenick Suites generally is not covered by medical insurance.

MCV Hospitality House

The hospital's hospitality House provides a "home away from home" for families of VCU Health System' out-of-town patients. The Hospitality House also serves same-day surgery patients and their families, and outpatients receiving continuing treatment at VCU Health System. The House has community rooms, art classes, and other amenities to make visitors feel more comfortable. Nearly all of the furnishings, services, and operating costs are provided by donations and volunteers. Visitors are asked to contribute what they can toward the nominal cost of the room.
